Tasks can be viewed from the following:
- Dashboard - My Tasks
- Dashboard - Delegated Tasks
- Clients - Tasks
- Tasks Workspace
- Tasks section of the Drawer of a document, email or job (when Tasks are attached to an existing document, email or job)
- If you have been sent a notification about a Task, from the Dashboard - Notifications
On the lists, icons are used to indicate the status of a task.
Displaying Tasks and Task Details from your Dashboard
The FYI Dashboard displays information related to tasks in the following ways:
My Tasks displays tasks that have been delegated to you by others, or that you have assigned to yourself.
Delegated Tasks displays tasks that you have delegated to other people.
My Tasks and Delegated Tasks group tasks by the due date and if tasks are Past Due, due Today, or Upcoming
Expand the group to see the tasks.
Displaying the Task Details from My Tasks or Delegated Tasks
You can make changes to Tasks directly from these lists (refer to Updating and Actioning Tasks). To open a task and display Update Task in the Drawer from the Dashboard - My Tasks or Delegated Tasks, click the Client or Delegator on these lists.
Displaying Tasks and Task Details from Clients - Tasks
The Tasks tab in the Clients Workspace displays tasks for a selected client. This is a handy tool for monitoring workload by client across the team. By default the view displays "Incomplete Tasks". You can change this to display "My Tasks", "Not Started" or "Overdue Tasks".

Click on any part of the task in the Client - Tasks list to display Update Task in the Drawer.
Displaying Tasks from your Tasks Workspace
The Tasks workspace displays tasks for all clients across the practice. By default the view displays "Incomplete Tasks". You can change this to display "My Tasks", "Not Started" or "Overdue Tasks".
You can filter the list, for example, by client, assignee or delegator. Where a task has been created as part of a process this shows the delegator as "System".
Displaying the Task Details from Tasks Workspace
Click on any part of the task in the Tasks workspace to display Update Task in the Drawer.
Displaying a Task from an Email, Document or Job
When Tasks are attached to an existing document, email or job, a Task can also be opened from the Tasks section of the Drawer of that document, email or job.
In the lists for documents and emails, the Task icon displays if there are any outstanding Tasks.
To display a task for a document, email or job:
- Select the document, email or job in a list.
- Expand the Tasks section of the Drawer to display the tasks for that document, email or job.
Displaying the Task Details from Drawer of a Selected Document
Expand the Tasks section of the selected document, as above. Then click on the Task that is displayed. This changes the Drawer to display the Update Task.
The Notifications icon is a bell located in the top right of the screen. It displays all system Notifications from FYI (for example, if you have been allocated a task or if someone updates a task that you have delegated to them). When notifications are sent, this shows in the Alerts icon as the number of notifications waiting to be read.
Clicking the Notifications icon displays your Dashboard - My Notifications. If you have received a notification about a Task, you can open it by clicking the Notification title. This opens the Tasks list with the relevant Task opened automatically.
Updating and Actioning a Task
To update and action a Task, click on an individual Task in a list, or open it from the Tasks Drawer of a document, email or job. The Update Task displays in the Drawer so you can to see the details and make changes. Refer to Updating and Actioning Tasks.
Exporting a List
You can Export the information that is currently displayed in the Tasks list as a .CSV file (Comma Delimited) which you can then open in Excel. Refer to Exporting Lists.
